Miami Rental Management Handoff Checklist
On this page
A working checklist for rental owners, agents and incoming or outgoing property managers. Use it before a management transition or a new rental launch. Give each unfinished item a responsible person, a due date and evidence of completion.
For a Miami condo unit, the lease start, building approval and reserved move date may be different. Confirm all three before promising access. This is an operating tool; the actual lease, management agreement and building requirements control.
Start with the handoff details
- Property and unit: __________________________
- Owner or authorized representative: __________________________
- Target management handoff date: __________________________
- Incoming contact and verified phone number: __________________________
- Outgoing contact and verified phone number: __________________________
1. Collect the operating file
- Executed lease, amendments and renewals for the correct unit and current residents.
- Current rent ledger, balance details and the last reconciliation date. Separate collected funds, outstanding charges and disputed amounts.
- Deposit records and the party responsible for them. Ask the responsible broker or adviser to confirm the transfer and notice process.
- Open work orders, warranties, equipment list and recurring service contacts.
- Owner-approved operating budget, reserve and repair-approval limits.
2. Confirm building and community steps
- Current association or building contact, written rental procedures, required application documents, fees and processing sequence.
- Required approvals, orientation, elevator reservation and permitted move hours. Confirm directly with the building; another unit’s experience may not apply.
- Keys, fobs, gate access, parking permits and mailbox access. Inventory who holds each item and transfer access codes through a secure channel.
- Unit-level versus association responsibilities for leaks, shutoffs, shared equipment, access and after-hours calls.
3. Document the property
- Dated condition report, room-by-room photographs and equipment inventory.
- Each open repair assigned to a named person with a target date. Identify work affecting occupancy or access and obtain qualified advice where needed.
- Utility account responsibility, planned transfer dates and confirmation numbers. Check for service gaps and overlapping responsibility.
- Storm preparation contacts, owner instructions and emergency access, using the property’s actual procedures and current Miami-Dade guidance.
4. Close communication gaps
- Written owner authorization and a signed management scope.
- Resident introduction identifying the effective date, management contact and verified payment channel. Confirm changed payment instructions through an existing trusted contact.
- Outgoing and incoming teams acknowledge the file, ledger and access transfer.
- Owner understands reporting dates, approval limits and escalation contacts.
- Referring agent knows who handles the property after the introduction. Any referral relationship or compensation has its own reviewed written agreement.
Turn missing items into an action list
Copy this table into your working document, or print this page and complete it by hand.
| Missing item or decision | Responsible person | Due date | Proof received |
|---|---|---|---|
| ________________ | ________________ | ________ | ________________ |
| ________________ | ________________ | ________ | ________________ |
| ________________ | ________________ | ________ | ________________ |
| ________________ | ________________ | ________ | ________________ |
Ready means the responsible team has confirmed the operating file, money records, access, required building steps and communication plan. An unchecked item remains an open task.
Put a delay in perspective
For planning only, monthly asking rent ÷ 30 × additional vacant days gives an illustration of gross rent for those days. At a hypothetical $2,500 monthly rent, seven days equals about $583.33. This is not a forecast of rent, occupancy, savings or profit; expenses, concessions, lease terms and actual collections are excluded.
